This policy covers the private software integration that Denlata BV ("Denlata", "we") uses to connect its own accounting records in QuickBooks Online to its internal bookkeeping process. The integration is not offered to, sold to, or usable by anyone else.

Who this applies to

Denlata B.V., a company registered in Amsterdam, Netherlands. The integration is used solely by Denlata staff, against Denlata's own QuickBooks Online company. There are no other users and no customers.

What data the integration accesses

• Chart of accounts, tax codes and supplier (vendor) records
• Supplier bills, including amounts, dates and invoice references
• Company information needed to identify the correct QuickBooks company

It accesses only Denlata's own accounting data. It does not access customer records, payroll data, banking credentials, or any personal data beyond the business contact details that appear on supplier invoices.

What it does with that data

The integration reads supplier invoices that Denlata has already received, and creates matching bill records in QuickBooks Online. It reads reference data — accounts, tax codes, suppliers — so those bills are posted correctly. All processing happens on computers controlled by Denlata.

Sharing and disclosure

No data is shared with any third party. Nothing is sold, rented, or used for advertising, analytics or model training. No data is transmitted anywhere other than between Denlata's own computers and Intuit's QuickBooks Online API.

Storage and retention

Copies of supplier invoices and processed accounting records are retained in Denlata's own document archive for as long as Dutch statutory retention periods require. Authentication credentials for the QuickBooks connection are stored in the operating system keychain on the machine that runs the integration, and are not written to shared storage or version control.

Security

• Access uses OAuth 2.0; no QuickBooks password is stored by the integration
• Tokens are held in the operating system keychain and rotate automatically
• Access can be revoked at any time from within QuickBooks Online
• Mail access used to collect supplier invoices is read-only and enforced at the mail server

Your rights

Because the integration processes only Denlata's own business records, there are no external data subjects using it. Anyone who believes their personal data appears in Denlata's records may contact us using the details below to request access, correction or erasure, in line with the GDPR.

Changes

If the integration's scope changes, this page will be updated and the date above revised.
